Candidate Privacy Notice

This Privacy Notice covers the personal data we collect, process and store about you when you apply for a role with any company in the Blis Group. The companies which form the Blis Group, and their locations, are listed in our privacy centre as Blis official trading companies.

Blis Global Ltd is the controller of any personal data held about you by the Blis Group and is a company registered in England and Wales with company number 06455773 and with a registered office at 85 Great Portland Street, London W1W 7LT, UK

We hope the following sections will answer any questions you have but if not, please do get in touch with us by emailing privacy@blis.com or visit our privacy centre for more information.

Personal data processed under this policy is received by us as a result of your job application. In order to process your application we will collect, process and store the following personal data and information about you:

  • Contact information such as your name, address, email address and telephone number
  • Professional or employment-related information including details of your qualifications, education, skills, experience and employment history
  • In some countries, information about your preferred remuneration and/or benefit entitlements
  • Information about your legal right to work in the country that you are applying for
  • Personal data and Information from the application process as a result of you completing an assessment interview or technical assessment

We may also collect, store and use the following “special categories” of more sensitive personal information:

  • Whether or not you have a disability for which the organisation needs to make reasonable adjustments during the recruitment process
  • Identification documents such as social security number or passport (classified as SPI under CPRA)

We will collect this information from a range of sources, which will include your application form, CV, your passport or other identity documents, or information provided directly by you through interviews or other forms of assessment. We may also collect your personal data if you are referred to us via a recruitment agency or an employee. We will notify you when we contact you that we have collected this personal data.

We may search publicly available sources of information, such as social media platforms e.g. LinkedIn, to verify information about you. We rely on our legitimate interests to do this, to help us in assessing your suitability for a role.

If your application is successful, we will also collect personal data about you from third parties, such as references supplied by former employers and recruitment agencies

How your personal data will be used by us

In order to process your application, we may collect, use, store and transfer your personal data to:

  • Assess your suitability to perform the role
  • Conduct and arrange interviews
  • Contact you about your application
  • Verify your right to work in the country where you have the role is based
  • If your application is successful and we make a conditional offer of employment to you, we will ask for information to carry out pre-employment checks including contacting referees and verifying your right to work and we may ask for other documentation such as proof of qualification.  

Blis will not use your personal data for any purpose other than recruitment purposes.

In order to process your application, we may collect, use, store and transfer your personal data to:

Under UK and EU GDPR (General Data Protection Regulation), our legal basis for collecting and using your personal data will depend on the type of personal data and how it was collected. 

 

Blis processes the personal data you have provided to us for recruitment purposes to pursue the legitimate interests of Blis, such as administration of the recruitment process, evaluation of the job applicants and building and developing an effective workforce. If you are chosen for one of our vacancies, such processing will also be necessary in order to take steps at your request prior to entering into an employment contract. We only rely on legitimate interests if the reason for using your information is fair and lawful. 

 

There are other legal bases which we may rely on to process your personal data:

 

Consent: Where we obtain your consent to process personal data, you have the right to withdraw that consent at any time. If you wish to withdraw your consent, please contact us at privacy@blis.com with details of your request. 

 

To enter into and fulfil your contract: We may also process your personal data in order to enter into a contract with you or to perform the contract we may offer you.

 

To comply with legal obligations: There may be situations where we need to use your information to comply with legal and regulatory obligations or defend claims.

Blis is a global business firm and any information that we collect or that you provide to us may be shared and processed by any Blis company or reseller in relation to the recruitment process. 

Blis also works with third-party service providers who act as data processors and are not permitted to process your personal data for their own purposes. These include:

  • Google Cloud Platform – our email and cloud storage provider
  • Bamboo HR – our HR and recruitment platform provider

We will not share your data with other third parties unless your application for employment is successful and you accept our offer of employment. 

If that occurs, we will then share your data with:

  • Former employers to obtain references for you
  • Employment background check providers to obtain necessary background checks
  • Our service providers such as salary, pensions and benefits providers to allow you to take advantage of such benefits

Where legally required we may your share personal data with:

  • Our professional advisers, such as lawyers and accountants
  • Government, police forces and/or regulatory authorities
  • As part of actual or potential business sale of Blis or its assets, to prevent suspected fraud, to respond to claims asserted against us or to comply with legal processes such as court order

Blis is a global company. We may transfer personal data to countries other than the country in which it was collected.  Where the destination country does not provide an adequate level of protection for personal data, we will only do so with an appropriate transfer mechanism such as UK or EU standard contractual clauses, also known as “model clauses”, and apply appropriate safeguards.

As described in this Privacy Notice, we will retain your information for as long as necessary for the uses set out in this Privacy Notice or while there is a legitimate reason for doing so.

 

If your application is unsuccessful or we do not have any suitable work at the time, we’ll let you know but we may retain your personal data on file for 6 months after the end of the relevant recruitment process so that we can contact you about future opportunities or if there are any questions about your initial application.  At the end of that period or once you withdraw your consent your data will be deleted or destroyed.

 

If your application for employment is successful, personal data gathered during the recruitment process will be transferred to your employee/personnel file. The periods for which your data will be held will be available in our data retention policy.

We use a range of measures to keep your personal data safe and secure. This includes protection against unauthorised access to or unauthorised alteration, disclosure or destruction of data we collect and store. We require our staff and any third parties who carry out any work for us to comply with appropriate security standards including obligations to protect data and apply appropriate measures for the use and transfer of data.

UK and EU GDPR (General Data Protection Regulation)

If you are located in the UK or EEA, you may have certain rights under UK and European privacy law, principally the General Data Protection Regulation (GDPR). This section of the Privacy Notice is intended solely for such consumers, i.e., “data subjects”. You have a number of rights in relation to the personal data that we hold about you including:

  • The right to access personal data we hold about you and to obtain information about how we process it
  • The right to request that we rectify (correct) your personal data if it is inaccurate or incomplete
  • The right to ask us to delete your personal data. We may continue to keep your personal data if we are entitled or required to
  • The right to object to, and to request that we restrict our processing of your personal data in some circumstances
  • The right to receive certain personal data you’ve provided to us in an electronic format and/or request that we send it to a third party
  • The right to withdraw your consent to us processing your personal data
  • The right not to receive marketing communications from Blis

CCPA disclosures and Californian resident rights

The California Consumer Privacy Act of 2018 (“CCPA”) as amended and expanded by the California Privacy Rights Act of 2020 (“CPRA”), provides certain rights to residents of California. This section of the Privacy Notice applies if you are a resident of California and your “personal information” (referred to elsewhere in this document as “personal data”) is collected or disclosed by us. This notice supplements the information already provided in this Privacy Notice.

For security purposes, we will verify your identity when you request to exercise your California privacy rights. Once we have verified your identity (and your agent, as applicable), we will respond to your request as appropriate and except where not permitted under applicable law or otherwise exempted by the CCPA.  If we are unable to complete your requests fully for any of the reasons above, we will provide you additional information about the reasons that we could not comply with your request.  If we are unable to action your request, we will explain the reasons for our refusal.
